Subject: Re: Christmas Committee

Thank you Jennifer and Sadie,

We are currently coming up with a more detailed design for Christmas and expect to have better concept visualized by May. Here is a quick synopsis of our plans, please let us know if anyone of you sees a possible problem with any of these ideas.

Molalla Ave. Decorations Pending Install/Construction Goes as Planned

1. Large Red Bows and Ribbon wrapped around the decorative lamp posts (no electrical needed) The City is selecting Option A with PGE for management of maintenance and ownership of the decorative light posts. I do not know if the bows will be an issue with PGE under this Option. I don’t see that bows pose a possible damage, maintenance requirement, or wind hazard to the posts. However they may have concerns that no one leans ladders or climbs on the posts during set up.

2. All trees lit with LED lights (we are possibly hoping to put up the lights November 19, 20 or 26, 27)

Front of City Hall

Large Christmas Tree (possibly uplit with new lit large star) surrounded by smaller Christmas trees (in planters) completely lit with lights (new LEDS). We are also working in coordination with Darci from Rustic Shed and possibly Withers Lumber to construct additional gifts and refurbish the old presets and Santa's chair (with your permission). We would like to meet with one of you to discuss height and space requirements and if a temporary fence could be erected (i.e. Picket Fence) around the scene.

Tentative Plan:

May: Concept presentation to city, finalize plan

May to October: fundraise/coordinate

End of July: start permitting process

End of November (19, 20, 26, 27): decorate

December 3rd: possible tree lighting pending coordination from Fire Department

I look forward to hearing of any suggestions or concerns.

Thank you very much,

Olesya

Hi Olesya,

I anticipate all street trees will be in by Christmas if the group is interested in a LED tree lighting option (It would look great). The City will be footing the bill for the electricity so I request that only LEDs are purchased. Also, You may be able to find a discount on bulk lights online.

Olesya,

By my counts there will be:

1. How many decorative light poles and trees with electrical power will there be? 24 New poles and 40 new trees

2. How many outlets do we have available in front of city hall? 1 outlet with 2 plug-ins

3. Tentative completion date for the street improvements completion and will we for sure be able to decorate the street posts/trees? If the completion date is too close to the holidays, we could discuss concentrating our efforts on the tree/trees in front of city hall and a uniform theme for the windows, etc. I spoke with Jen Cline. We expect this project to be totally completed by the end of 2016. If construction goes smoothly with no change orders it might be early December.

I would recommend asking Ace Hardware, Bi-mart and Hi-School Pharmacy for light donations or price break. Also, MCC gives grants for community projects. They have a request form online.

Thanks,

Sadie

Here is the lighting plans with recent updates, once approved by PGE the changes will be given to the contractor. I had MSA take a second look and attempt minimizing the number of light poles to reduce project and monthly energy costs.

Jen, do you know any of these off the top of your head? I don’t have the maps.

1. How many decorative light poles and trees with electrical power will there be?

2. How many outlets do we have available in front of city hall?

3. Tentative completion date for the street improvements completion and will we for sure be able to decorate the street posts/trees? If the completion date is too close to the holidays, we could discuss concentrating our efforts on the tree/trees in front of city hall and a uniform theme for the windows, etc.

Hello again!

We are having a committee meeting tomorrow and I wanted to clarify a couple of things regarding the street improvements on Molalla Ave. Since I am not an expert at reading the design plans, how many decorative light poles and trees with electrical power will there be? How many outlets do we have available in front of city hall?

Also, since we will be organizing some sort of fundraiser for new lights, does the city have a tentative completion date for the street improvements completion and will we for sure be able to decorate the street posts/trees? If the completion date is too close to the holidays, we could discuss concentrating our efforts on the tree/trees in front of city hall and a uniform theme for the windows, etc.

Thanks so much!
