I agree with Jen. We have worked with the BMX people for years and never had an issue. I think they just want an added layer of security is all. They also have a COL naming us as a secondary insured. I would ask Kim who the PIC will be and get their contact info for the project and a list of volunteer names to give to the PD in case they are stopped and asked by law enforcement. Just my 2 cents.

Hi Dan,

I’m assuming the BMX crew are wanting to do this work during the weekend. We have the capability of checking out a clicker to them to store the equipment on site. However, if they have an enclosed trailer I’m not certain what the security issue is. They could also contact the PD to keep a closer eye on the container.

I don’t see a big risk, but will defer to you.

Subject: BMX Track Next Week

Kim, coordinator at the BMX track, says that dirt will be delivered in piles that they will use for track maintenance in the next few weeks. They will be bringing over an enclosed trailer with a few tractors inside that will be used for the work, that they will do as volunteers find time to work on it over the next couple weeks.

Kim was asking if there was any way that they could lock the enclosed trailer containing the tractors inside the public works gate and have access to it during the time that they are working. They’d rather not leave it there unprotected and it would be a hassle to have to hook up and haul back and forth each time.

Let me know if this is do-able or if you have any suggestions on how else to make this happen. I told her I wasn’t sure due to liability reasons (access to the whole pw yard) but she assured me that her, herself, would be present each time work was being done and that she’s been a part of the BMX track and dealings with the city for over 10 years (implying she’s trustworthy). I would think at least the on call person would have to be present to open/lock the gate.

She also says thank you for taking care of the poison hemlock.
