Thank you Gerald. As you know working with volunteers can be difficult as well as training for future replacement of us oldies but goodies! Ha. I sincerely appreciate the communication from you. You would think we would get it right after all the years we have been doing this, but seems we assume to think we all know what we are doing.

He let me know that they are using the branches for decoration around the base. He had assumed that a shorter tree didn’t need to be cabled off and I let him know in the email and phone conversation that the cables are required for safety. The last thing anyone wants is the tree to blow over and hurt a pedestrian or worse. From our phone conversation today it appears like they are getting on that. Until it is supported by cables though there is a liability issue with the event coordinators.

Christie has also made contact with Terry and asked them to remember to include everything on the event permit. They left off the need for electricity, tent, and barricades on the street for the closure. Luckily we caught it but have a huge workload around here and may not be able to keep things from falling thru the cracks in the future. It’s why we set up the event permit to make sure everything was covered and to provide new folks doing a permit with their predecessors work. In the end this should all work out just fine. We just need everyone’s help completing the form and following the processes in place to make sure events in the community go without issue.

I have not received a response from you to the voice message I left yesterday on your cell phone. In that message I requested that the folks running the tree lighting event clean up the debris in front of City Hall and secure the tree using the cables like last year. Cabling of the tree is required for safety each year. Next year’s event permit will need to include all of the items your organization needs from Public Works and other City staff so that we can ensure that nothing falls thru the cracks. This event protocol was put in place for just that purpose. The tent will be up by either Thursday or Friday and our crews will have the barricades ready for the PD to set out for the event. There is a plug for the lights in the alcove between the buildings and our crews will set up an extension cord so that you can plug in the lights. Please let me know as soon as possible when the debris will be cleaned up and the tree secured. Thank you.
