Hi Olesya,

The landscaper is preparing the tree wells and is almost done. I’m hoping the trees will go in within the next week or two but I don’t have a firm date. We won’t be able to light the trees until the circuits are installed by PGE and that will take a while to complete. Probably not in November but for sure in December. We’ll see how it goes. It may be sooner. If the decorations are at Public Works then please contact Dennis Welle at 503.793.4238 to coordinate pickup. Thanks and have a good week.

Good evening Sadie,

We are so excited about this upcoming holiday season and have seen such a fantastic response from the community. We were able to fund raise enough money to purchase all new lights for the big tree and enough lights for 40 small trees. On top of that, most of the empty storefront windows will be decorated with lights and displays created by school children and churches.

Our big volunteer day is coming up on November 21st, 22nd and 26th. Can you or Gerald let us know if any of the street trees will be in the ground by then? If not, what is the expected date? We would need to coordinate more volunteers.

I am also making sure we have all of the proper paperwork and permits completed. Is there anything else that you need from our group?

Lastly, are we able to pick up the Santa and sleigh and gift boxes this week?

A few updates:

Ø LED’s will be needed. I know they are more expensive. I would contact ACE Hardware. Ask for Debbie Drake and let her know I tasked you with getting the lights on behalf of the city and are in need of a government discount since we are buying in bulk. See what she comes up with. Keeping the dollars local is always key. If you need me to talk to her or if she needs to verify it, please let me know. (Chamber)

Ø Banners…this is still undecided by the Chamber and how many they have to hang. They will handle the permitting etc. (Chamber)

Ø The tree ring is a 16" circle x 36" deep. (Public Works)

Ø There are some admin concerns about the previous trees. I spoke with Dan and Gerald and in years past we have had some issues with the large trees. Given that we just went through one major storm already and its only October, the Chamber can erect a tree no taller than 35’. There are several liability reasons from a city stand point. (Orders from City Hall)

Ø The tree delivery will be on the Saturday after Thanksgiving. (Chamber)

Ø The Chamber will work on decorating the tree and the other necessary set up. We normally have the PW On-call on sight to make sure nothing goes wrong with the tree delivery and initial set up. (Gerald)

Ø I should be getting the garland donation again this year. I will need to arrange with PW to put that up on the front of the building before December 3rd. (Public Works)

Ø The Chamber is purchasing new LED string lights to go on the new trees downtown since they are wired. They will work on hanging those. (Chamber)

Ø Santa’s Chair needs to assembled. The Chamber will pick up and assemble. (Sadie)

Ø The wooden boxes that go under the tree. The Chamber will be picking those up and refurbishing. Waiting on a time for them to do so with PW. (Public Works)

Ø I reminded them that they need to have Clinkscales drop off a unit to be used because public access that evening will not be permitted. (Sadie)

Ø The gate key to access the power needs to be handed off to a Chamber member if staff will not be in attendance. This was an issue last year. I will be in town so if there is an extra key just in case something goes sideways, I am willing to take that on. (Gerald, Dan, Sadie?)

Ø Hopefully the weather will be decent. If not, we need to look at putting the tent up. (Gerald/Public Works)

Ø December 3rd is the tree lighting at 5:30. This will mean we need to shut the streets down at 5pm from the main intersection to Ross Street. If you think we should shut it down earlier let me know. So we will need barricades put up. The Fire Engine will be coming in. We normally have 2 PD cars with lights on, one at Ross and one at Main behind the barricades. (MOPD, Public Works and Admin.)
