Dan,
Here is the contract and proposal for the Meeting and Agenda Management software I spoke to you about. This is something I think could be of great benefit to all who uses it. This is something that can be used City wide for any type of meeting. I have approached the various departments to get their thoughts and buy in.
I have had Gerald, Aldo and Julie watch a demo of the software and I believe we can agree that it would help to simplify the process and eliminate error. Both Ronda and Diana felt they had instances that they would benefit from it as well. We will have the ability to add features on our website that will make the citizens experience easier and have greater access to meetings.
Since it is with our current website vendor it integrates with it flawlessly. Also since we are already under contract with MuniCode it can be an addendum to the contract and eliminates the need for RFP.
I met with Chaunee and our preliminary break down of cost over the various departments is,
Administrative $1,500.00
Planning $500.00
Police Dept $500.00
Library $500.00
Public Works $800.00
For a total of $3,800.00 Which is billed yearly. We retain our documents and can download the final product/PDF which is unrestricted (can be edited if necessary). They will set us up as soon as possible and can begin our use as soon as June for no additional cost and bill us in July.

Hi Kelly,
I was just about to email you the attached quote and service agreement and saw this email come in. The answer is absolutely yes. The PDF’s you create can be opened and edit in the full version of Acrobat, just as if you had created it initially. There is no restriction created by our system when we build the PDF because we use an Adobe engine on the back-end.
Regarding the quote, as you can see if it very straight forward. Once your CM has reviewed it and had whatever internal discussion he needs to have, the next step is simple: just return the signed copy to me. I will then begin the various processes with Brian and Andre. And, as I described during the meeting, we are totally prepared to do for you what we are doing for Prineville. We can start you now and simply invoice the city after July 1.
I’m excited to get you up and running on Municode Meetings. I know it will be a significant benefit to you, the staff and the City. I hope all of this makes sense. Please let me know if you have other questions.

Please ignore my previous email that said our demo was at 8:00 AM this morning. My calendar was out of whack due to a Microsoft upgrade. After I did a reboot, the calendar reset from showing in Eastern time back to Pacific time. Our demo is at 11:00 AM Pacific time. Please forgive the technical issues.
