Christie this didn’t go too bad actually I’m not gonna beat myself up. Leota is happy, Dan and Gerald worked behind the scenes and ironed a lot out over the last few weeks. They consulted the fire, police depts and worked out a new event layout that allowed a traffic plan that made sense. Now that we’ve got it planned we’ll be able to make incremental improvements going forward.

I do remember viewing this when you sent it a month ago but I failed to give us a Work Order. I think the reason is that her plan was so strange I couldn’t make sense of it, even the roads shown on her map are not accurate! Even so, if I had given myself a work order, even an ambiguous one, the crew would have been asking me last week “hey what’s the deal with that event?” and probably would have taken the initiative and already had the tent pulled out and cleaned! As it was I left it up in the air, and that resulted in confusion at the last minute.

Work orders do more for me than just “documenting work”. It’s an massive collaboration multiplier: 12 eyes all scanning the load report every day bending their brains to figure out how to get the work done on time.

Hey there,

This morning’s debacle with the tent threw us all for a bit of a loop. I vaguely recalled discussion around it in August, so I went back and this is what I found.

Attached is the request that I had originally made to Dept. Heads several weeks ago. We are all busy, so it’s easy that this was forgotten. Leota’s application does request Street Maintenance Assistance, including roadblocks and tent set up.

We have this handled now, so my view is that it’s consider it handled.

My Goal here: As the Event Coordinator, how can I help facilitate this better? My first blurt: Andy, would it be helpful to include you in any event that requests PW help? I don’t typically include you in the Event requests. Seems like an easy fix to include you when this is the case.

I’m open to other suggestions. It is important to me to be part of the communication that should happen. I’ll help however I can on my end.

Hi Dan,

On the last page of the attached application is shows a layout for the event. There are a couple if issues that need to be brought up. A detour route needs to be created and traffic control plan submitted to ODOT to route truck traffic down 7th to Hart to Hwy 211. By cutting off Molalla Avenue from the north end of the park to 7th street we are cutting off the south side of town. We will have to have road closed barricades on 6th, 5th, 3rd and Molalla Avenue.

The other issue is staffing for the barricades and tent installation and tear down. She has us setting up in the street and that will require union notification for weekend work as well as overtime both in the morning for set up and in the evening for tear down. This will be a significant cost and may be something that the union may consider grieving. As an alternative the food and beer area could be set up in the park or Council could contract the tent setup and take down with a private company. That way our crews would only have to work during the week days without an OT impact or grievance.
