Thank you for reaching out! The City is a current and active ORCPP member – Thank you! Your ORCPP Membership # KM0366 – attached for your reference is a fully executed IGA for your file. Your organization, as an Oregon Cooperative Purchasing Program member is granted authority to purchase off of Oregon Statewide Price Agreements. The section 6.1.2 reminds ORCPP members, when placing an order against a State of Oregon Price Agreement, to place your ORCPP membership # and the PA # on your P.O.s/or ordering instrument that you use.

Next Steps:

When we retired ORPIN (July 1), no data transferred to the new system; so we need to get your organization and users uploaded.

Follow these instructions for completing your Templates:

Please read the following carefully before you begin this assignment filling out the spreadsheets.

Things to consider as you fill out the attached Excel spreadsheet template.

  1. 1. Do you have departments or (sub organizations) under the primary organization? Ex: Finance, Parks, Capital Construction, Transit/Vehicles, Health, Police Dept, Sheriff Office, Public Works, Engineering, Procurement/Contracting, School Districts (nutrition dept, facilities/maintenance dept, procurement dept, etc…)
  2. 2. Who within these departments will have one or both user roles?
    1. a. There are two user roles you will have to identify for personnel throughout your Organization:

- Searching contracts that are available for use. We call this Marketplace in the new system – OregonBuys.

- Advertising/Posting bidding opportunities in the new system – OregonBuys.

- Or selecting “both” user roles for your organizational personnel

Column A: Input your OrCPP membership # for your organization

Column B: Organization Name

Column C: Department(s) or sub organizations under the primary ORCPP member

Columns: D thru L complete as appropriate

Step Two:

  1. 1. Click on TAB 2

Column A: First Name

Column B: Last Name

Column C: Office Phone Number

Column D: Mobile Phone (if necessary)

Column E: IMPORTANT. Email. Be sure this email address is input correctly. The email address will be the Users Logon ID for the new system. Once your organization has been fully setup and users added, this email address will be used to send the user a logon ID/Password for OregonBuys access.

Column F: Job Function. This is where the user’s role(s) are identified within the Organization or Department.

**utilize the drop down icon to indicate user’s role(s), i.e., Searching Marketplace, Posting Notices, or Both

Column G: IMPORTANT. Be sure this department name entered on TAB 2/Colum G for the user, is input exactly as the

Department_ID appears in TAB 1 Column C Department_ID

STEP THREE:

  1. 1. Save your file with the naming convention: (orcpp member #)_Org Name EX: P00580_Metro_UserTemplate.xlxs
  2. 2. Attach and send via email to: info.orcpp@oregon.gov

Good morning,

I am assisting our Public Works Operations Supervisor in establishing an account to purchase with your organization. It appears to me that the first step is to complete the Intergovernmental Agreement, is that correct? I have been working on that document and I have a question on section 6.1.2. What is the “This purchase is placed against State of Oregon Price Agreement #”? Then what other things do I need to do to get this established?
