Hello All,

I just wanted to be sure I have this correct so we don’t miss anything. Please let me know if you see something inaccurate. I have also attached the Community Development Logo that should be used on all public facing documents produced by the Committee. There are three varieties intended for different uses which is noted on the name of each one. Thank you!

  1. 1. Kiosk Art Contest Rules & Entry Form (call for art) and licensing agreement
    1. a. Refine Rules & Entry Form based on comments – Julie
    2. b. Refine licensing agreement and include as attachment to Rules & Entry Form – Mac
    3. c. Complete for Committee Review by 2/16/22, Council Review at 2/23/22 Meeting
  2. 2. Kiosk Art Contest Sponsorship Program
    1. a. Create sponsorship levels and amenities – Roxie

i. This should also be done by 2/16/22 for Council Review at 2/23/22 Meeting

    1. b. Determine art publication costs and disseminate to group – Mac
  1. 2. Reach out to Schools to Prep for Contest
    1. a. MHS – Roxie
    2. b. Local Middle and Elementary Schools - ????
    3. c. Home Schoolers - ????
    4. d. Charter Schools - ????
  2. 3. Contest Timelines
    1. a. 4/1 Launch Call for Art
    2. b. 5/15 Final day for Art submittals
    3. c. 6/1 Announce Selections
    4. d. 6/2-6/24 Photographing, printing and setting Art – Dave and Triangle Design
    5. e. 6/25-6/29 Install Art on Kiosks – Molalla Public Works
  3. 4. RFP for Printing Services – Cancelled due to compliance, timing, and administrative burden issues.
    1. a. The printing services in this case were direct purchased as allowed by Public Procurement law.
    2. b. The vendor was selected in large part because they are local and offer the graphic design services this project required.
    3. c. They were pre-paid for the final pieces (QR Codes and Art prints) in order to close out the grant in accordance with the deadlines in the grant agreement.
    4. d. Putting together an RFP, potentially seeking refund, disseminating the RFP to 3 vendors, and awaiting potential responses would not comply with the grant closeout submitted to the granting agency as all funds were accounted for, including those prepaid.

Thank you all and have a great evening!

-Mac
